1. Clinical Integrity & Final Authority
This software is a Clinical Documentation Assistant powered by Artificial Intelligence. It is designed to assist in the drafting of SOAP notes based on user-provided data. Use of this tool does not constitute a clinical peer review or supervision. The individual provider (eg: RBT, BCBA, BT, SLP etc.) remains the sole author and authority of the final document. You are legally and ethically obligated to ensure all documentation is truthful, accurate, and reflects the specific services rendered during the session.
2. HIPAA Compliance & The On Target ABA BAA
This application utilizes Google Gemini AI through a Google Cloud environment protected by the On Target ABA Business Associate Agreement (BAA). This agreement ensures that the processing of data meets the technical, physical, and administrative safeguards required by HIPAA. While the environment is compliant, users should continue to exercise professional discretion when inputting identifiable information. All data transmitted is encrypted, but you should ensure your device is secure and not visible to unauthorized persons during use.
3. Use of Generative AI (Limitations)
Generative AI models, including Google Gemini, can occasionally produce "hallucinations"—information that is factually incorrect, clinically inappropriate, or logically inconsistent. This AI may misinterpret prompt levels, frequency counts, or behavioral antecedents. It is mandatory that you read every word of the generated note to correct any AI errors before the note is finalized or uploaded to a Practice Management System (e.g., CentralReach, Ensora).
4. Logging, Auditing, and Internal QA
For the purposes of quality assurance, security monitoring, and clinical auditing, all interactions with this Application including but not limited to user prompts, uploaded images, and generated responses—may be stored and reviewed by administrative staff at On Target ABA. This logging is used to ensure the tool is being used ethically and to improve the accuracy of clinical outputs. By clicking "I Accept," you waive expectations of complete anonymity regarding the data processed through this tool.
5. Ethical Documentation Practices & Professional Conduct
The user agrees to uphold the highest standards of professional integrity while utilizing this application. By clicking "I Accept," you specifically agree to the following prohibitions:
A. Prohibition of Falsification: You shall not use this tool to generate documentation for clinical sessions that did not occur, or to inflate session durations beyond the actual time spent providing direct care.
B. Medical Necessity & Custodial Care: ABA billing is strictly for the treatment of behaviors and skills directly related to a patient’s diagnosis. You agree not to use this tool to document "custodial care" (e.g., babysitting, academic tutoring, non-clinical supervision, or Activities of Daily Living (ADLs) that do not have a specific behavioral target). Using AI to "mask" custodial care as clinical intervention is a violation of these terms and insurance provider contracts.
C. Data Integrity: You agree not to intentionally input misleading data to produce a specific clinical outcome. This includes misrepresenting prompt levels, frequency counts, or the baseline of a client’s performance to satisfy insurance "progress" requirements.
D. Note Cloning & Uniqueness: Payers (such as Medicaid, TriCare, and private insurance) require that every session note be unique to that specific encounter. You are prohibited from using this tool to create "templated" or "cloned" notes that do not reflect the unique clinical nuances of the current session.
E. Professional Accountability: This tool is a drafting aid. Submitting an AI-generated note without personal clinical review constitutes professional negligence. You acknowledge that "AI Error" is not an acceptable defense for documentation that violates the BACB Ethics Code or state/federal laws regarding healthcare documentation.
6. Voice-to-Text Functionality
When the microphone button is activated, the application will enter a continuous recording mode. It will remain active and continue to transcribe speech into the input field until you manually click the microphone button a second time to stop it. Please ensure you are in a quiet, private environment when using this feature to avoid capturing background conversations or sensitive information not intended for the clinical record.

On Target ABA and the developers of this tool (Nate Karr) provide this service "as-is." The user assumes all risk associated with the use of this software.
